Frequently Asked Questions

Is RoPA mandatory for small companies?+
Companies under 250 employees are exempt only if their processing is occasional, not high-risk, and doesn't involve special category data. In practice, almost all SaaS and tech companies need a RoPA.
What's the difference between RoPA and data mapping?+
RoPA is the formal Article 30 record — a legal document. Data mapping is the broader technical inventory of where data lives. RoPA is built on data mapping.
How often should RoPA be updated?+
Whenever a new processing activity, vendor, or data flow is added. At minimum, a full review annually.
Will regulators accept our existing spreadsheet?+
Only if it covers every Article 30 element. We'll review your current document and tell you exactly what's missing.
What format do you deliver in?+
Whatever your team already uses — Excel, Google Sheets, Notion, Confluence, or our recommended template. The format is less important than completeness.
Does this cover Article 30(2) for processors?+
Yes. If you act as processor for clients, we produce the processor-side RoPA covering controllers, data categories, and security measures.
